As our Administrative Assistant/Office Coordinator, you will support our senior leadership team with a variety of administrative and office coordination tasks that are critical to keep our team running smoothly.
This role requires being in our Lisle, IL office 5 days per week; ability to work from home 1 day per week after 6 months of successful performance.

Position Summary Responsible for administrative tasks to support the Ardeo senior leadership team, office coordination tasks for the Lisle, IL office team (approximately 35 employees), and limited support for the Bloomington, IN office (3 employees).
Key Areas of Responsibilities Serve as main point of contact for the Lisle office for visitors and building property management.
Prepare physical and digital materials needed by the senior leadership team, including agendas, documents, contact lists, presentations, and spreadsheets.
Coordinate travel plans, calendars, and expense reporting for senior leaders.
Arrange and communicate logistics for group meetings, including those for employees, board members, and visiting clients.
Track and manage replenish office supplies and refreshments.
Care for office duties, including mail, answering the door for visitors, and serving as point of contact for office vendors.
Assist with Human Resource tasks, such as candidate travel and schedules, new hire onboarding documents, remote employee travel for all-staff meetings, and employee recognition and rewards.
Provide support to key projects and initiatives across the team as needed.
Position Requirements Associate's Degree or equivalent Administrative Support experience Excellent time management skills and the ability to prioritize work Adept at anticipating needs before they arise Proficient in Microsoft Office (Outlook, PowerPoint, Excel, Word) Proficient with digital communication tools (Zoom, Teams) Strong attention to detail and accuracy Excellent customer service and interpersonal skills Comfortable with change, able to work under pressure, with short lead time Self-directed and ability to work with minimal supervision Strong problem-solving skills and sound judgment Preferred:
Experience working at an insurance agency Compensation will be commensurate with experience.
